QuickBooksHow to Switch From Xero to QuickBooks Online, Step by Step

Converting from Xero to QuickBooks Online? Here's the full process: picking a conversion route, cleaning up first, mapping accounts, checking balances and going live without double entries.

The short answer6 min read

To switch from Xero to QuickBooks Online, reconcile and close your books in Xero, pick a cutover date, then convert with Intuit's recommended conversion partner or start fresh with opening balances. Convert into a new, empty QuickBooks Online company, compare the trial balance in both systems, reconnect bank feeds from the cutover date and lock the old period.

People switch from Xero to QuickBooks for practical reasons: a new accountant works in QuickBooks, an app they need only connects to QuickBooks, or they want features in a specific QuickBooks plan. None of those reasons make the switch itself any less fiddly.

This guide covers the whole process, including the dull bits that decide whether the switch goes smoothly. If you're still deciding between the two, our comparison of QuickBooks Online vs Xero covers the differences. Both are good software. The switch is about fit, not about one being bad.

Before you start: decide three things

  1. Your cutover date. The first day of a month, right after a month you've fully closed and reconciled in Xero. The first day of your fiscal year is the cleanest of all.
  2. Your QuickBooks Online plan. Match it to what you use in Xero today (tracking categories, projects, users, inventory). See QuickBooks Online Plus vs Advanced.
  3. Full conversion or fresh start. A conversion brings history over. A fresh start brings only balances and open items. More on both below.

Step 1: Get Xero clean before anything moves

Whatever is wrong in Xero will be wrong in QuickBooks. Before converting:

  • Reconcile every bank, card and payment account in Xero through the month before cutover.
  • Clear old unreconciled items and any suspense or clearing account balances you can't explain.
  • Tidy contacts. Merge duplicates and archive old ones.
  • Review the chart of accounts. Archive accounts you don't use. This is a good moment to simplify. Our chart of accounts guide explains what a sensible structure looks like.
  • Approve or void draft invoices and bills. Drafts in limbo cause confusion after the move.

Step 2: Export your records from Xero

Even if a conversion tool moves your data, keep your own copy. As of the cutover date, export or save PDFs of:

  • Trial Balance
  • Balance Sheet
  • Profit and Loss for the current year and prior year
  • Aged Receivables and Aged Payables, detailed by contact
  • Account Transactions for each balance sheet account (useful later for lookups)
  • Your contact list, products and services, and fixed asset register

Store these somewhere safe outside both systems. If you cancel Xero later, check how long you'll keep access to your old data.

Step 3: Choose your conversion route

Route A: Intuit's conversion partner. Intuit's US help article "Convert from Xero to QuickBooks Online" points to Dataswitcher, a third-party conversion service Intuit works with, and describes converting up to two fiscal years of data at no charge, starting from opening balances [1]. It requires a Xero US account and a paid QuickBooks Online US subscription. Terms change, so read Intuit's article on the day you start.

Route B: Fresh start with opening balances. You set up a new QuickBooks Online company, then enter:

  • Opening balances for every balance sheet account on the cutover date, from your Xero trial balance
  • Each open customer invoice and open vendor bill, so you can collect and pay them in QuickBooks
  • Contacts and products, imported from spreadsheets

Route B is often cleaner for small businesses with simple history. Route A is better when you need detailed history in QuickBooks, for example for job or client profitability comparisons.

Either way, use a new, empty QuickBooks Online company. Intuit's article notes you can't convert into a company that already has data in it [1].

Step 4: Map accounts and tracking

Xero and QuickBooks name things differently. Before you convert, decide how each maps:

In XeroIn QuickBooks OnlineWatch out for
Chart of accounts codesAccount numbers (turn on in settings)Account types differ slightly; check each one
Tracking categoriesClasses and locationsQuickBooks has two dimensions; plan which one gets which category
Contacts (customers and suppliers in one list)Separate customer and vendor listsA contact that's both needs two records
Inventory itemsProducts and servicesInventory valuation method may differ
Bank rulesBank rulesRules don't transfer; rebuild them
Repeating invoicesRecurring transactionsRebuild them

Intuit also publishes a list of conversion limitations for Xero migrations. Read it before you convert so nothing surprises you [2].

Step 5: Convert (or enter opening balances)

Follow the conversion partner's steps if you chose Route A. If you chose Route B, enter the opening balances with one journal entry dated the day before cutover, then enter open invoices and bills individually. Post the difference created by entering open invoices and bills against the matching receivables and payables lines, so the balance sheet still ties.

Don't connect bank feeds yet. That's step 7.

Step 6: Compare the numbers

This step decides whether the switch worked. Compare, as of the cutover date:

ReportMust matchIf it doesn't
Trial balanceEvery accountFind the account that's off, then the transaction
Balance sheetEvery lineUsually an account type mapped wrong
A/R and A/P agingTotals and each contactMissing credits or partly paid invoices
P&L, current year (if history converted)Income, expenses, net incomeCash vs accrual basis setting

Use the same accounting basis (cash or accrual) in both systems when you compare.

Step 7: Go live

  1. Connect bank feeds in QuickBooks with a start date of the cutover date, so you don't pull in transactions that are already in your opening balances.
  2. Rebuild bank rules. Start with a few specific rules rather than many vague ones. Our QuickBooks bank rules guide explains how.
  3. Reconnect apps (payroll, payments, expense tools) to QuickBooks and disconnect them from Xero, so nothing posts to both.
  4. Add users with the right roles. Give outside help a limited role. See how to give your bookkeeper access safely.
  5. Set a closing date for the day before cutover so history can't be edited by accident. See QuickBooks closing date.

Step 8: Close the first month carefully

At the end of the first month in QuickBooks, reconcile every bank and card account and run a balance sheet reconciliation. If everything ties, the switch is done. Keep Xero read-only for a while for lookups, then cancel when you're sure you have the records you need.

Common mistakes

  • Bank feeds connected with an old start date. You get every transaction twice.
  • Apps still posting to Xero. Half your sales end up in the wrong system.
  • Tracking categories dropped. Departmental or client reports break. Map them before converting.
  • Switching mid-month. It works, but you'll split one month across two systems. Avoid if you can.

Questions owners ask

Can I move my Xero data to QuickBooks Online?

Yes. Intuit points US users to a conversion partner, Dataswitcher, or you can start fresh with opening balances and open items. Check Intuit's current help article for eligibility and cost.

Do I need a new QuickBooks Online company to convert?

Yes. Conversions go into a new, empty company. You can't convert into a company that already has transactions.

What happens to Xero tracking categories?

They become classes or locations in QuickBooks, depending on how you map them. Decide the mapping before converting.

How long does a Xero to QuickBooks switch take?

The conversion itself can be quick. The full switch, with cleanup before and checks after, usually takes a few weeks.

Should I cancel Xero right away?

No. Keep read-only access until your first month in QuickBooks is closed and you've saved the reports you need.

Switching systems? Do it once, and do it clean.
