Accounting for contractors & field-service businessesThe bank balance is not job profitability. Build the system that can tell the difference.
ABFI brings structure to books, payroll, reconciliations, close review, CPA coordination, and financial reporting for operational businesses with jobs, crews, vendors, equipment, and moving cash.
| Job | Revenue | Direct cost | GM |
|---|---|---|---|
| Oak Ridge | $86k | $59k | 31% |
| West End | $54k | $41k | 24% |
| Service | $39k | $22k | 44% |
- Cards reconciled
- Payroll posted
- Vendor spend classified
Jobs feel profitable until the last invoice goes out.
Costs land in the wrong job, change orders are billed late and WIP is a guess, so overruns show up after the job is done.
Jobs are priced one way and recorded another
When labor, materials, vendor costs, and overhead are not consistently structured, job economics become guesswork.
Cash is moving long before the close explains why
Deposits, supplier payments, payroll, fuel, cards, and equipment costs can overwhelm weak bookkeeping processes.
The books arrive after operational decisions are already made
A contractor needs reporting that catches up to the field, not reporting that explains last quarter.
The owner becomes the bridge between operations and accounting
That is where coding inconsistencies, missing documents, and late reconciliations compound.
Job Cost & Close Board
A stronger accounting function connects transaction discipline to job-level questions, cash visibility, and a reviewed monthly close.
ABFI’s job is to keep the accounting underneath reliable enough that a view like this can be trusted.
Each close should show job costs, billings and WIP you can act on.
- 01Are labor and vendor costs being captured consistently?
- 02What is committed but not yet visible in cash?
- 03Are card, bank, loan, and payroll balances reconciled?
- 04What does the current close say about margin and cash pressure?
Every category has to land consistently before job-level reporting can mean anything. Illustrative example.

See what a Diagnostic finds in a construction business.
The central question in this sample: can the owner rely on the information she receives to manage job margins, cash commitments, and the next decision for her construction business? Three of the eight findings are specific to contractors.
- 02Job margins do not yet include consistent job costs$32,600
- 03Billing and work performed do not have a reviewed contract bridge$48,000 retainage
- 04Open commitments and vendor costs are not consistently connected$10,400 + $2,900 rentals

The work stays specialized. Accountability stays unified.
Each layer has a different job. ABFI coordinates the layers, with one point of accountability through Client Accounting Management, so the owner is not the integrator.

Built for Contractors & Trades
- Contractors, trades, home-service, and field-service businesses with crews, payroll, vendor spend, multiple cards or accounts, or growing job complexity.
Probably not the fit
- Very small operators that only need a simple tax-year ledger and do not require ongoing accounting management.
Before you hand over the function.
A few questions leaders usually need answered first.
How is ABFI different from basic bookkeeping for contractors and trades?
Bookkeeping is only the first layer. ABFI also reviews and closes each month, reports on it, prepares the CPA handoff and advises on decisions, with one person answerable for all of it.
What is in the contractor sample Diagnostic report?
Eight findings on a fictional general contractor, Illustrative Northline Builders LLC, including jobs with no supervision labor, pay applications not reconciled to work performed, retainage, and open vendor commitments. Each finding shows the evidence, the amount involved, the decision it affects and who fixes it, followed by a 90-day roadmap.
Does ABFI prepare tax returns?
No. ABFI does not provide tax preparation or CPA services. Independent CPAs are engaged directly by the client. ABFI supports tax readiness through accurate records, organized documentation, and coordination.
Can ABFI work with the systems we already use?
Usually, yes. We look at your current setup in the first conversation and keep what works. We only suggest a change when a tool is causing errors or extra work.
What if the books are already behind or unreliable?
ABFI provides clean-up and catch-up accounting where needed so ongoing accounting can begin from a reliable foundation.
Who owns communication?
ABFI uses a coordinated structure with a single point of accountability so the owner is not required to integrate multiple disconnected providers.
Know which jobs make money while they are still running.
Bring the current setup. ABFI will help you determine where the gaps are, what should be owned, and whether a managed fractional accounting department is the right structure.
