QuickBooksQuickBooks Online vs Desktop (2026): Which Should a Growing Business Use?

QuickBooks Online or Desktop? What's still sold, how they differ on access, features, apps and cost, who should stay on Desktop, and what moving to Online involves.

The short answer3 min read

For most small and growing businesses, QuickBooks Online is the better choice today: it runs in a browser, connects to far more apps, and is what Intuit is building for. Intuit stopped selling new subscriptions to Desktop Pro Plus, Premier Plus and Mac Plus in the US after September 30, 2024, while Desktop Enterprise remains on sale. Desktop still suits some businesses with heavy inventory, industry editions or very large files.

The Online vs Desktop debate used to be a matter of taste. Now it's mostly a matter of what's on sale. If you're starting fresh, you'll almost certainly be choosing Online (or Desktop Enterprise). If you're on Desktop today, the real question is when and how to move, not whether Online exists.

What's still available

Intuit announced that after September 30, 2024 it would no longer sell new subscriptions to QuickBooks Desktop Pro Plus, Premier Plus, Mac Plus and Enhanced Payroll in the US. Existing subscribers can keep renewing, and QuickBooks Desktop Enterprise was not affected [1]. Support for each Desktop version ends on its own schedule, so check Intuit's discontinuation page for your year and version [2].

Who should choose QuickBooks Online

  • Most service businesses: agencies, consultants, staffing firms, startups
  • Businesses that want their accountant, bookkeeper and team to log in from anywhere
  • Anyone relying on apps: payment processors, e-commerce connectors, bill pay, payroll
  • Contractors with moderate job costing needs. See best accounting software for contractors

Choosing a plan? See QuickBooks Online Plus vs Advanced.

Who might stay on Desktop (for now)

  • Businesses with complex inventory, assemblies or multiple warehouses that rely on Enterprise's inventory features
  • Firms using an Enterprise industry edition deeply
  • Businesses with very large files where migration needs careful planning
  • Teams whose workflows depend on Desktop-only reports or add-ons

Even then, plan your exit: support dates keep moving, and most new tools assume Online. Multi-company groups should also see best accounting software for multiple entities.

Is Xero worth considering instead?

If you're leaving Desktop anyway, it's fair to look at Xero too. See QuickBooks Online vs Xero. For most US small businesses, QuickBooks Online is the smoother move because the data comes across with Intuit's tool.

What moving to Online involves

Briefly: clean up the Desktop file, check it's within Intuit's size limits, migrate into a new Online company, compare the balance sheet and P&L in both, then rebuild payroll, bank feeds and users. The full walkthrough is in how to move from QuickBooks Desktop to Online. After the move, set up access properly: how to give your bookkeeper access safely.
