OutsourcingOnline Bookkeeping Service vs Outsourced Accounting Department: Which Do You Need?

App-style online bookkeeping or a full outsourced accounting department? What each includes, what each costs, who each fits, and the signs you've outgrown one and need the other.

The short answer3 min read

An online bookkeeping service categorizes and reconciles your transactions and sends monthly statements, usually at a lower, packaged price. An outsourced accounting department runs the whole function: bookkeeping, payables and receivables, a reviewed and locked monthly close, controller oversight, CFO-level planning and CPA coordination. Simple businesses usually need the first. Growing businesses that make decisions on the numbers usually need the second.

Both models are legitimate, and plenty of businesses start with one and move to the other. This page compares the models, not specific companies. (For specific companies, see our outsourced bookkeeping list.)

ABFI is an outsourced accounting department, so we've tried to be especially clear about when the other model is the better choice.

The phrase for the second model is often "fractional accounting." Our explainer on what fractional accounting is goes deeper.

Who the online bookkeeping model fits

  • Sole proprietors and small businesses with simple, repeating transactions
  • No inventory, few employees, one entity
  • The owner handles bills and invoices and mainly needs tidy books for year end
  • Budget is the main constraint

If that's you, an online bookkeeping service is likely the right choice. See Bench alternatives, QuickBooks Live alternatives and Merritt alternatives for options.

Who the accounting department model fits

  • Businesses with employees, payables and receivables to manage, inventory, jobs or several entities
  • Owners making hiring, pricing or financing decisions from the numbers
  • Lenders, investors or buyers asking for reliable monthly financials
  • Owners tired of being the person who connects the bookkeeper, the CPA and the bank

That's ABFI's Fractional Accounting Department.

Signs you've outgrown an online bookkeeping service

  1. You're still paying the bills, invoicing and chasing customers yourself, and it's eating your week.
  2. The monthly statements arrive, but nobody explains them, and you don't trust them enough to act.
  3. Your CPA finds problems every year.
  4. You need job, client, location or channel profitability.
  5. A lender asked for something the service doesn't produce.

What about cost?

An accounting department costs more because it does more. Compare what you'd otherwise pay for: an in-house bookkeeper, a part-time controller, CFO help, plus your own hours coordinating them. Our guides to outsourced accounting cost and in-house vs outsourced accounting lay out the comparison. ABFI's pricing estimator shows a planning range.

Questions owners ask

What's the difference between a bookkeeping service and an accounting firm?

A bookkeeping service records and reconciles transactions. An outsourced accounting department also runs payables and receivables, closes and reviews the books, adds controller oversight and planning, and coordinates with your CPA.

Is an online bookkeeping service enough for a small business?

For simple businesses, often yes. Once employees, inventory, several entities or outside stakeholders enter the picture, many businesses need more.

How much more does an outsourced accounting department cost?

More than packaged bookkeeping, because the scope is wider. Compare it with the cost of the people and time it replaces.

Can I start with an online service and switch later?

Yes. Many businesses do. Keep your books in your own accounting file so switching is easy.

Does an accounting department do taxes?

Some do. ABFI doesn't; we hand clean books to your CPA.

Not sure which model you need?

ABFI's complimentary Business Accounting Diagnostic looks at your books and tells you honestly which model fits.
