Weighing QuickBooks Live alternatives? Here's who QuickBooks Live suits, what it doesn't cover, the main alternatives sorted by fit, a side-by-side table and how to switch while staying in QuickBooks.

The short answer4 min read

QuickBooks Live Bookkeeping is Intuit's own service: bookkeepers categorize and reconcile your transactions inside QuickBooks Online. It suits small businesses with simple books. Reviewers note it doesn't pay bills, send invoices or manage payables and receivables, so businesses that need that, or a reviewed monthly close and CFO help, look at alternatives like Bookkeeper360, Pilot or ABFI, all of which can work in QuickBooks Online.

A note before you read: ABFI is one of the alternatives here, and we wrote this page. Facts about QuickBooks Live come from Intuit or named, dated reviews.

Who QuickBooks Live is good for

QuickBooks Live Bookkeeping puts a bookkeeper inside your own QuickBooks Online file. The appeal is real: you stay in the software you already use, it's run by the company that makes it, and pricing is published by business size [1][2]. For a small business with simple books that wants transactions categorized and accounts reconciled each month, it's a sensible choice.

What it doesn't cover

Fit Small Business's review notes that the Full-Service plan doesn't include sending invoices, paying bills, managing payables and receivables, inventory, payroll, financial advisory or tax [2]. Pricing is monthly by business size, with a separate first-month cleanup fee, on top of your QuickBooks subscription [2]. Check Intuit's page for the current scope [1].

So the usual reasons to look elsewhere:

  • You want someone to run payables and receivables, not just record them. See accounts payable and accounts receivable.
  • You need industry work: job costing, inventory, client profitability.
  • You want a reviewed close and someone to talk to about the numbers.

How to switch from QuickBooks Live, step by step

The good news: your books are already in your own QuickBooks Online file, so nothing needs to move.

  1. Pick a switch date after a month QuickBooks Live has finished.
  2. Check the last reconciliations with your new provider before cancelling.
  3. Cancel QuickBooks Live (not your QuickBooks subscription) following Intuit's instructions.
  4. Invite the new provider as an accountant user. See how to give your bookkeeper access safely.
  5. Hand over open items: unpaid bills, open invoices, anything unresolved.
  6. Tell your CPA who to contact now.
