IndustriesBest Accounting Software for Startups (2026): From First Dollar to Series A

QuickBooks, Xero, Puzzle or Digits? Which accounting software fits a startup at each stage, what investors expect from your books, and the setup that makes burn and runway easy to report.

By Umaima WaheedUpdated

The short answer3 min read

Most startups do well on QuickBooks Online or Xero, set up on an accrual basis with a clean chart of accounts, connected to their bank, cards, payroll and Stripe. Startup-focused tools like Puzzle and Digits add automation and founder-friendly dashboards. Whatever you choose, investors care about accurate monthly financials, burn and runway, not which logo the software has.

A note before you read: ABFI doesn't sell software and has no affiliate deals. We work mostly in QuickBooks Online.

Founders pick accounting software in about four minutes, usually while doing something more exciting. That's fine. The software is rarely what goes wrong. What goes wrong is cash-basis books that can't show deferred revenue, a card nobody reconciles, and a data room request that arrives the same week as the board meeting. Choose software that will still work when you raise.

What startups need from accounting software

The shortlist

1. QuickBooks Online: best default for most startups

  • Why: almost every accountant, fractional CFO and auditor knows it; huge integration library; classes for departments [1].
  • Watch for: deferred revenue schedules are manual or need an add-on.

2. Xero: best for founders whose accountant prefers it, or with international entities

3. Puzzle: best for early-stage startups wanting automated, startup-shaped books

  • What it is: accounting software built for startups, with automated categorization and startup metrics such as burn and runway [3].
  • Watch for: confirm your accountant and future auditors are comfortable with it.

4. Digits: best for founders who want AI-driven bookkeeping and live dashboards

The part that matters more than software

Investors judge the numbers, not the tool. What they want each month: an accurate P&L and balance sheet, cash and burn, runway, and a few KPIs. See investor reporting for startups and burn rate and runway.

Want someone to run it?

Startups often hand the books to a service. Pilot, Zeni and inDinero are well-known options for startups; see Pilot alternatives, Zeni alternatives and inDinero alternatives. ABFI's startup accounting offers an accrual monthly close, burn and runway reporting, and a clean handoff to your CPA.

Questions owners ask

What accounting software do most startups use?

QuickBooks Online is the most common, with Xero second. Startup-focused tools such as Puzzle and Digits are growing.

Should a startup use cash or accrual accounting?

Accrual. Investors and auditors expect it, and it shows your real burn.

Do investors care which software I use?

Rarely. They care that the monthly financials are accurate, on time and on an accrual basis.

Is AI accounting software enough for a startup?

It automates categorization well. You still need someone to reconcile, handle accruals and deferred revenue, and review the close.

When should a startup outgrow QuickBooks?

Usually after Series A or B, when entities, revenue rules or audit needs make spreadsheets risky.

Want investor-ready books every month?
