A note before you read: ABFI doesn't sell software and has no affiliate deals. We work mostly in QuickBooks Online.
The heart of staffing accounting is one weekly match: approved hours × bill rate = what you invoice, and approved hours × pay rate = what you pay. Software choice should make that match automatic. Everything else is detail. Our guide to staffing agency accounting explains why.
The two layers
| Layer | What it does | Examples |
|---|---|---|
| Staffing platform (front and back office) | Candidates, placements, timesheets, pay and bill rates, payroll runs, client invoices | Avionté, TempWorks, Bullhorn and its back-office products |
| General ledger | Bank reconciliations, the P&L and balance sheet, accruals, the monthly close | QuickBooks Online, Xero, Sage Intacct |
The staffing platform is the source of truth for hours and rates. The general ledger is the source of truth for the financial statements. They connect through summary entries (weekly payroll and billing totals), not every timesheet.
The shortlist
1. QuickBooks Online Plus or Advanced: best general ledger for most small and mid-size agencies
- Why: affordable, widely supported, classes for branches or divisions, and most staffing and payroll tools integrate with it [1]. See QuickBooks Online Plus vs Advanced.
- Watch for: QuickBooks shouldn't hold every timesheet. Post weekly summaries.
2. Xero: an alternative ledger for smaller agencies
- Why: a clean ledger with good bank feeds [2]. Fine if your staffing and payroll tools connect to it.
- Watch for: fewer US staffing integrations than QuickBooks. Compare: QuickBooks Online vs Xero.
3. Avionté: best for agencies wanting one front-to-back-office platform
- What it is: staffing software covering recruiting, onboarding, time, payroll and billing [3].
- Watch for: decide which system owns payroll, and map the summary entries to your general ledger carefully.
4. TempWorks: best for high-volume light industrial and clerical staffing
- What it is: staffing software with back-office payroll and billing [4].
- Watch for: implementation time. Ask how it posts to your accounting software.
5. Bullhorn: best for agencies that already use its applicant tracking
- What it is: a widely used staffing ATS and CRM, with back-office products for time, pay and billing [5].
- Watch for: the back-office side may be a separate product. Confirm what's included.
6. Sage Intacct: best ledger for larger or multi-entity staffing groups
- Why: dimensions for branch, client and division, plus multi-entity consolidation [6].
- Watch for: cost and implementation. Usually makes sense with an in-house finance team.
Which setup at which size?
| Your agency | Usual best fit |
|---|---|
| Small, under ~25 workers out | QuickBooks Online plus a payroll provider and timesheet app |
| Growing, weekly payroll, several clients | Staffing platform for time, pay and bill, plus QuickBooks Online for the books |
| Large, many branches or entities | Full staffing back office plus Sage Intacct or similar |

Questions owners ask
Can a staffing agency use QuickBooks?
Yes, as the general ledger. Most staffing agencies pair it with a timesheet and payroll system, and post weekly summaries into QuickBooks.
What is staffing back-office software?
Software that handles timesheets, pay and bill rates, payroll and client invoicing for placed workers, and posts the results to your accounting system.
Should every timesheet go into QuickBooks?
No. Keep timesheet detail in the staffing system and post weekly summaries to the ledger.
What report matters most for a staffing agency?
Gross margin per hour by client, from hours, bill rates and fully loaded pay rates.
When should a staffing agency upgrade from QuickBooks?
When branches, entities or volume make summary posting and spreadsheet reports unreliable, usually alongside hiring an in-house finance team.
